International Grant Program

    Can non-target countries be included in the project?
    A
    Yes, they can, but only in addition to two or more target countries.
  • Q
    There are activity groups in several districts within the same country. Can we include each of these groups in the project?
    A
    Yes. You can include multiple districts within the same country as long as the project includes more than two target countries/regions specified in the program guidelines.
    Example: Japan (Tokyo, Osaka) and Thailand (Bangkok, Chiang Mai)

    Is there a set format for presenting tangible output? Who are the targets of tangible output?
    A
    No, there is no set format. Program participants are expected to plan and carry out projects so as to optimize impact. This includes the creation and dissemination of tangible output. A variety of methods can be used to achieve this, including making policy proposals to government officials or other policy makers, staging photography exhibits or movie viewings in local communities, or disseminating information via social media.

    Can we extend the implementation period when needed or should we apply again for the next fiscal year?
    A
    It is possible to extend the project period if necessary. If you plan a new project as the next step, please apply for the grant in the following year.
    Please note that the program is reviewed and revised every year and is subject to change.

    Can I apply for a 2-year category while our project has a budget size of 5 million yen?
    A
    The budget for the grant period is only the upper limit, so you can apply for a 2-year category with a budget of 5 million yen or less.

    Are there any conditions on the eligibility of personnel expenses and honorarium?
    A
    Anybody involved in the project, including the project's representative, is eligible as long as the expenditure is directly related to the funded project. However, organizational overhead and general administrative expenses, i.e., indirect expenses, are not eligible.

    May I use my own funds and/or external funds in addition to the grant from the Toyota Foundation?
    A
    Yes. You can use your own funds and/or external funds. In view of the development and sustainability of the project, we recommend that you secure not only the fund from the Toyota Foundation but also your own funds as well as other relevant institutions.
    For external funds, please specify in your proposal “11. Other funding sources".

    Are activities conducted by existing frameworks such as networks and regular conferences subject to the grant?
    A
    Projects whose main purpose is to carry out existing international conferences, networks, etc. are not the subject to this grant. It is acceptable to utilize existing opportunities, but please clearly describe in your proposal what you are trying to newly learn from each other and what you are trying to accomplish specifically in this project.

    Does the grant support the activities of a single institution?
    A
    The project team must include members based in multiple countries/regions. At the same time, it is required to form a diverse team comprising experts from different fields and backgrounds and return the results to society through a variety of means.
    Only if the members result in belonging to a single organization the answer is yes.

    What does it mean for a representative to "have a contact address in Japan"?
    A
    It means that the representative has a postal address, office, or affiliation in Japan and can be contacted by the Foundation without delay.

    Can voluntary organizations, public institutions, or companies be eligible to apply?
    A
    Yes, but please note that the grant is directed to individuals, not groups/organizations. The nationality and affiliation of the applicant such as voluntary groups, NGOs, universities, and private companies, do not matter. The same applies to project members as well.

    Do you accept multiple applications from one organization?
    A
    Yes, but please note the grant is directed to individuals, not groups/ organizations. If a person is considering multiple projects, it is recommended to have prior consultation before applying.
  • Q
    Is it possible to continue operating the website launched with the grant after the project period is over? What about the cost after the grant period?
    A
    Yes, you can continue to use the framework created during the grant period to disseminate information even after the grant period ends. However, the grant only covers the expenses paid during the grant period. We recognize that the duration of your whole project and that of the grant period is not necessarily equal.

    Can we request a program officer of the Toyota Foundation to participate in the events in the granted project?
    A
    Yes, please provide information in advance when conducting events. When possible, a Program Officer will participate and observe the grant activities.

    May I apply for both the International Grant Program and other grant programs of the Toyota Foundation at the same time?
    A
    Yes. However, it is not necessarily regarded as positive in the selection, considering the capacity in implementation. Prior consultation is advised.
  • Q
    Which is more appropriate to apply for, the special subject program “Migrants and Japanese society” or the International Grant Program? Our project is about multicultural coexistence among Japanese people and people with foreign roots in Japanese society.
    A
    It depends on the content of the project which program is suitable to apply, so please consult. These two programs have different aims and requirements from each other. For example, the International Grant Program requires the direct exchange and mutual learning, while the special subject program “Migrants and Japanese society” aims at building supportive mechanisms and environments.
